An introduction to Checkin

This article aims to provide you with essential information to help you get started with using Checkin. We will cover four key areas: setting up account settings, setting up your events, handling orders, and managing your finances.

1. Set up your account, insert customer information, and add users

The settings for your user account lay the foundation for several functions in Checkin. Where do you want the payments to go? Who else needs access to the system and at what level? How do you insert your own logo on the invoice? We recommend following this step:

STEP 1:

Log in to "My Page." Fill out the customer card with all necessary information. Add users under the tab "User management".

2. How to set up your first event

Each registration or ticket sale is a separate event. You can create these in the "Events" tab. Once you've created the event, you can come back anytime to edit and continue working towards launching the sale/registration.

STEP 2:

Create your first event in the "Events" tab. Click on "Create New Event" and follow the wizard. You can return to the setup at any time to complete it if you're not finished yet. Once you've published the event, you will have an overview of the sales activity in the "Order Summary" and a list of registered participants in the "Order Report."

3. Manage orders and extract reports

When the event is published and registrations start coming in, there might be a need to make changes on behalf of a customer. Many also need to extract various reports on sales and expected attendance, and this step will explain how you do so:  

STEP 3:

Learn how to make changes, cancellations, or refunds in an order. Learn how to communicate with participants using email or SMS within the system. Extract useful reports in Excel using the order report.

4. How does the financial aspect work in Checkin?

Checkin is a registration system where you can handle registrations, payments, and invoicing easily without paperwork. You have full control over what has been received and outstanding payments from ticket buyers. The funds from ticket buyers will be deposited into your customer account in Checkin and will be paid out to your company's bank account at the end of each month, along with an accounting document for the preceding month. This also enables you to process refunds and make changes to the invoices within our system.

STEP 4:

Get an overview of what's happening in the "Economy" tab. Please insert your bank account number and an email to the accountant in "Customer Information" to receive receipts, if not done already. Familiarize yourself with "Open entries" and how to handle unpaid invoices. Set up a chart of accounts for a more organized receipt.
