Checkin is a registration system where you can purchase tickets for various events from our clients. Additionally, checkin.no is our website where we provide information about our services and promote ourselves to potential new customers. The privacy policy is designed to cover both visitors to our website and those who purchase tickets. 

What information is stored when you use Checkin 

We collect and store several types of information about you when you create an account, purchase tickets, contact us, and use our websites, applications, and social media. When you buy a ticket through us, we collect information about you. The information collected varies from event to event and is controlled by our clients (the organizers). When you use our websites or applications, we collect information such as the browser and device you use, your IP address, your location, the website you came from, what you used and did not use our website/application for, or which website you visited when you left our site. This is stored through cookies.

Most web browsers are set up to automatically accept cookies, but if you prefer, you can change this so that cookies are not accepted. However, many websites, including ours, depend on cookies to function as intended. In cases where we collect personal information from children, the organizer will always request parental consent and will always be able to collect such information for events targeted towards children. If you find that this is not happening, please report it to us. 

How your information is used and why 

We collect and use your information solely to meet the requirements we have for our clients. This involves collecting information from you to maintain a register of participants for an event and to offer tickets that grant access to this event. The type of information collected is always determined by the organizer.

How the information is used after registration is also determined by the organizer, and they are responsible for obtaining the necessary consents from you regarding communication beyond what is relevant to the specific event. These are called active consents. If you experience any misuse of your registered information, please report it to us. The information you register will only be used by us to: 

  • Store the information in the organizer's database
  • Send you tickets from the system
  • Process payment for the ticket(s)
  • Register your arrival or access to the event 

From the organizer's side, the information you register will only be used to: 

  • Store the information in the organizer's database

How long is your information stored? 

Data stored in Checkin's databases is kept for the duration of the data processing assignment. In Norway, the Accounting Act states that data related to transactions should be stored for 5 years. All other data related to your ticket purchase can be deleted when the organizer no longer needs the information to fulfill the assignment you have purchased from them. In practice, it is the data controller, i.e., the organizer, who carries out the deletion in all cases, either through automatic routines or manually. 

The same conditions apply if the organizer has integrated Checkin with third-party providers. 

HubSpot

We use HubSpot for collecting and analyzing visitor statistics. HubSpot uses this information to evaluate website usage, compile reports on website activities for the website owner, and provide other services related to website activities and internet usage. PostHog

We use PostHog for the collection and analysis of visitor statistics. This information is stored by PostHog within the EU and used by Checkin to understand the usage of the website and product, with the intention of improving the services. Useitful

We use Usetiful to display messages on the website and in the product to help customers navigate and understand the services. Please refer to Usetiful's privacy policy at https://www.usetiful.com/privacy-policy. 

Google Analytics

We use Google Analytics for the collection and analysis of visitor statistics. Google uses this information to evaluate the use of the website, compile reports on website activity for the website owner, and provide other services related to website activity and internet usage. 

Facebook Meta Pixel

We use the Facebook for the collection and analysis of visitor statistics. Facebook uses this information to evaluate the use of the website, compile reports on website activity for the website owner, and provide other services related to website activity and internet usage. 

Snapchat - Snap Pixel

We use the Snap Pixel to measure the effectiveness of our campaigns and to collect visitor statistics. This helps us to ensure that we share the right information with the right audience. 

Hotjar - Heatmaps

We use Hotjar, which provides us with "heatmaps" or color-coded maps of how our visitors navigate and click around on our websites. No personal data is stored. We use this to understand behavior and improve our websites. 

TinyMCE - Heatmaps

We use TInyMCE (https://www.tiny.cloud/tinymce/) for the following processes:

  • Textboxes where our customers can insert formatted text.
  • Customers will have the option to preview specific parts of our solutions to see what the end user will experience once their event is published.
  • Edit and preview course certificates.

Chatbase - our support Chatbot

We use Chatbase to help you as a customer and user of Checkin to find the right answer to your question on your own, without having to contact support. Chatbase uses AI to find the right information for every question you might have.

Who we share your information with 

All information you provide to us is only accessible to: 

  • Employees of Checkin AS 
  • The organizer and individuals authorized by the organizer 
  • Our third-party server providers, Amazon Web Services in Ireland. We have a data processing agreement with them to protect your information from misuse. 
  • If the provider uses integrations with third-party providers such as Zoom, HubSpot, or other tools, you will be informed of this in the terms of purchase from the organizer when you buy a ticket. 

Your choices, rights, and obligations 

Your rights include, among others, the ability to choose whether you want to receive marketing materials from the organizers. You also have the right to access the information stored about you. 

Choices

If you have given consent to the organizer, you can withdraw it by doing the following: 

  • To no longer receive marketing materials from the provider, you can contact the organizer and request to be removed. 
  • To opt out of the use of cookies and tracking tools, go to the settings in your browser. 

Your rights

You also have rights regarding how your personal information is used, including: 

  • The right to object to the processing of your information. 
  • The right to request the deletion of your information or restriction of its further use. 
  • The right to request a copy of the information we have about you.
  • The right to correct, change, or update the information you have provided us (if you have an account with us, you can also do this by logging in and updating your information).
  • The right to dispute any automated decisions we make about you. An automated decision is a decision made without human intervention that has legal consequences (e.g., a credit check). We typically do not use automated decision-making, but if we do, we will inform you when such decisions are made.

Your obligations

  • If you register others for an event and on their behalf, and you tick the active consent for marketing/communication, you are responsible for ensuring that you have obtained prior consent from those individuals and that they understand what this entails.
  • Therefore, do not check consent boxes in a registration form without first obtaining clarification from the individuals concerned.

How we secure your information 

We always take precautions to ensure that your information is protected and securely deleted when it is no longer needed. We have implemented security measures to protect your information, including collecting all information through encrypted pages (HTTPS). Additionally, we have a data processing agreement with our server providers, Amazon Web Services. We will only store your information for as long as necessary to provide the services you request, for the purposes described in this statement, and for any legal purposes where we are legally obligated to retain the information. All your registered information will have an expiration date, which is determined by the respective organizer. Please contact them for more information.
